Administrative Assistant for Seasonal Worker Recruitment
Are you someone who enjoys working with people and keeping the paperwork in order?
At Tomeco, we work together every day to produce our Feel Good Tomatoes. Our seasonal workers play a key role in this process, from the greenhouse to packaging. To ensure a smooth onboarding and start-up process for them, we’re looking for a colleague who can help find candidates, follow up on their applications, and handle all the administrative preparations.
Your role within the team
You’ll follow the process for our seasonal workers from start to finish: from the initial contact to a well-prepared payroll file. Even after a successful work period, you’ll stay in touch so we can welcome back trusted employees.
Specifically, this means:
- You will actively seek out new seasonal workers for our seven locations and follow up on incoming applications.
- You will manage the candidate pipeline through social media and also reach out to candidates referred by our supervisors and staff.
- You will inform candidates about the next steps and coordinate their availability with our staffing needs.
- You will build a well-organized candidate database and keep contact information, availability, and the status of each file up to date.
- You gather the necessary documents and information, such as identification documents and bank information, and verify that the files are complete.
- You will enter the necessary information into our scheduling tool and track changes in consultation with the relevant colleagues.
- You provide our payroll service with all the documents and information needed to prepare for the employment in a timely manner.
- After a successful work period, you’ll reach out to seasonal workers again and start scheduling their return for future seasons, based on their availability and our schedule.
- To this end, you’ll work closely with our supervisors and work coordinators, as well as HR and payroll. This ensures that everyone knows who is expected to be there, when someone is available, and what preparations still need to be made.
What is your profile?
- You work with precision and maintain a clear overview, even when multiple requests come in at the same time.
- You’re comfortable reaching out to people and communicate clearly and politely.
- You follow up on matters independently: if a document or response is missing, you'll follow up on it.
- You're comfortable working with Excel or similar spreadsheets and enjoy learning how to use new planning tools.
- You feel right at home on social media and enjoy reaching out to candidates through those channels.
- You handle personal information discreetly and carefully.
- You enjoy working with people from diverse backgrounds. Additional language skills are a plus.
- Experience in administration, recruitment, or workforce planning is a plus. We consider a hands-on approach and a willingness to learn to be just as important.
- You're proficient with Excel and are an expert at ensuring compliance with the prescribed guidelines.
- You are fluent in Dutch, Romanian, and English
What do we offer?
You’ll be working in an environment where a practical approach is key. You’ll collaborate closely with our colleagues in HR, payroll, and the various growing locations. We offer a competitive salary, commensurate with your experience and skills, supplemented by fringe benefits. We’ll discuss the full compensation package and the practical details during an introductory meeting.
What do colleagues themselves say about working at Tomeco?
“I’ve been working at Tomeco for quite a few years now, and step by step, I’ve had the opportunity to grow into the role of site manager at Hortipower. That trust and those opportunities for personal growth mean a lot to me. What I appreciate most is the collaboration with the people on the shop floor and the feeling that we’re building something together.”
